Follow the steps below to quickly Scan, Index, OCR, and Release a batch of
documents.
Click
the Start (Windows 95, 98, NT)
button, and select Programs, Paragon
Data Suite, and PDS Scan. |
 Click
the New Batch button on the Batch
List window and select the appropriate template from the Select
a Batch Template window. Then click the
Open Batch button. |
It
is recommended that you select UserName +
Unique Name as the Batch Name
in the Assign Batch Name window
that appears after you click on the Save
icon above. You will then need to click on the Save
icon on the Assign Batch Name
window. |
Click
on Scan on the Menu
Bar and select Show Scan Driver
Screen from the drop-down menu. Then click the Scan
icon. |

On the scan window that pops up:
- Select Paper Size of
documents
- Select dpi at 240 for most
documents, drawings may be scanned at 200 but clarity will be slightly
sacrificed
- Click on the Feeder check
box
Make sure documents are placed facedown in the scanner and then click
the Scan button. |
If
the scanning was successful, the screen to the left should appear.
Click on the Close Batch
button on the toolbar.
The Close Batch window will
appear. Click on Yes to move to
the next stage. |

On the PDS Index window select
the applicable Document Type, Department,
and Document Title for each
document in the batch. After all documents have been categorized and labeled,
click the Close Index button. |

After clicking the Close Index
button, the Close Batch button
will appear. Click on the Yes
button to move on to the next step. |
The
following screen will appear. Click on the Auto
Run check box in the Batches to
... window (it's to the right of the two radio buttons but is
hidden from view when the window is not maximized). There may be a small
time delay before and during the OCR
(Optical Character Recognition) function if a large quantity of documents
were scanned. |
If
the operation was successful then the screen should look similar to this
one.
If no errors are noted and the words End
of Batches OCR appears, then click on the Close
OCR button. |
The
following screen will appear. Click on the Auto
Run check box in the Batches to
be Proce ... window (it's to the right of the two radio buttons
but is hidden from view when the window is not maximized). There may be a
small time delay before and during the Release function if a large
quantity of documents were scanned. |
Click
the Yes button on the PDS
Release window to release the batches and ready the data for
the next step in the processing sequence. |
If
the operation was successful then the screen should look similar to this
one.
If no errors are noted and the words End
of Batches Release appears, then click on the Close
Release button. |
